Microsoft 365 is the natural choice for a team that lives in Outlook, Word, Excel and Teams. Exchange Online gives you a real mailbox on your domain, and the admin tools are built for organisations that need control.

It is not the natural choice for an application that sends password resets, receipts or one-time codes. That is a different product category.

This review looks at both jobs. It covers what Microsoft 365 does well, where another tool may fit, and when Traffsite Email Services is the better answer. Traffsite is our product, so it comes last.

Why look beyond Microsoft 365

Microsoft 365 has real strengths.

The Office apps are included. Depending on the plan, you get web and mobile versions of Office or the desktop apps. For a team that works in Word, Excel and PowerPoint all day, that matters.

Outlook and Exchange are mature. Shared calendars, distribution groups, room mailboxes, delegation and retention policies are well understood by most IT teams.

Teams is part of the same account. Chat, meetings and calling can sit beside the mailbox, which reduces the number of vendors.

Compliance tools are deep. Retention labels, data loss prevention, eDiscovery and conditional access are available across the suite, with plan differences.

It supports hybrid and enterprise setups. Organisations with on-premises Exchange or strict identity requirements can keep a mixed environment.

Microsoft publishes business plans for different sizes and needs. As of November 2026, the exact India price depends on the plan, the billing term and any promotion. Check the official comparison page before you budget.

Where the gaps are, with other tools in the space compared

The first gap is the unit of billing. Microsoft 365 is licensed per user. A product that sends 30,000 receipts a month does not need 30,000 user licences.

The second gap is the job. Microsoft 365 is built for people reading and writing mail. Application email needs a simple send endpoint, templates, delivery events, bounce handling, suppression and idempotency. Those are not the core of a mailbox suite.

The third gap is operational fit. An IT team may be comfortable managing Exchange. A product team often wants a small API key, a domain check and a message log without a tenant, a licence and a mail flow rule.

The market has three broad groups.

Tool Best fit Pricing model What to know
Microsoft 365 Teams that need Outlook, Office and Teams Per user, per month or year Strong for Microsoft shops and enterprise controls
Google Workspace Teams that want Gmail, Calendar, Meet and Drive Per user, per month Strong for Google-first teams
Zoho Mail Low-cost business mailboxes Per user, per month Part of the wider Zoho suite
Titan Mailboxes through hosting partners Per user, per month Often bundled with a domain or host
Fastmail Privacy-focused mailboxes Per user, per month Small team focus
Hostinger Email Mailboxes attached to hosting Per mailbox or plan Convenient for hosted sites
Namecheap Private Email Budget mailboxes on a domain Per mailbox Simple mailbox product
GoDaddy Professional Email Mailboxes for GoDaddy customers Per user, per month Convenient inside GoDaddy
Traffsite Email Services Application email and hosted mailboxes Prepaid packs plus mailbox fee Our product, covered below

The useful question is still who reads the message. A person reads a mailbox. A server sends application mail.

Setup, limits and reporting compared

Microsoft 365 setup starts with a tenant, a verified domain and DNS records. You then create users, assign licences and decide on security defaults. The work is familiar to any Microsoft administrator, but it is more than one screen.

Mailbox limits depend on the plan. Storage, archive, meeting limits and Office app rights all change by licence. Microsoft lists the differences on its comparison page, and the page is the right place to check current limits.

Reporting is built for administrators. You can see mailbox activity, sign-in risk, audit logs and service health. Message-level delivery events for application email are not the main surface.

A transactional API is narrower. You verify one sending domain, add SPF, DKIM and DMARC, create a key and call one endpoint. The log shows accepted, delivered, bounced and complained events. Webhooks send those events to your app.

Traffsite Email Services follows that model. A new account gets 20 emails for 30 days. Paid sending uses prepaid packs. Mailboxes are separate and billed per mailbox each month. Current prices are on the email pricing page.

Pricing and best-fit use cases

Microsoft 365 is a per-user subscription. The final India price depends on the plan, annual or monthly billing, and any promotion. The comparison page lists Business Basic, Standard and Premium alongside enterprise options. Check it for the current number.

That model works when each person needs a mailbox and the Office or Teams suite. It is hard to justify when the sender is a server.

Google Workspace, Zoho Mail, Titan, Fastmail, Hostinger, Namecheap and GoDaddy all price per user or per mailbox. They compete on the inbox, the suite and the admin experience.

Transactional providers price per message or per prepaid pack. Amazon SES, Brevo, Mailgun and Postmark are in that group. Traffsite is there too, with prepaid packs and a separate mailbox fee.

Best fit by situation:

  • Choose Microsoft 365 when Outlook, Office desktop apps and Teams are part of the daily workflow.
  • Choose Google Workspace when Gmail, Calendar, Meet and Drive are the better fit.
  • Choose Zoho or Titan when a low-cost mailbox is the main need.
  • Choose Fastmail when privacy and a focused mailbox product matter.
  • Choose a transactional API when your app sends the mail.

When to choose Microsoft 365 or another tool instead

Choose Microsoft 365 when the team needs the Microsoft suite, when IT already manages Microsoft identity and devices, or when compliance requires the Microsoft controls. It is also the right choice when Outlook and Teams are non-negotiable.

Choose Google Workspace instead when the team prefers Gmail and Google's collaboration apps. Choose Zoho or Titan when budget is the main constraint. Choose Fastmail when you want a smaller provider focused on mail.

Choose a transactional email service when the message is triggered by software. Receipts, password resets, one-time codes, shipping updates and alerts all belong in that category.

Many organisations need both. Microsoft 365 for people and a transactional API for the product is a common and sensible split.

Where Traffsite fits

Traffsite Email Services is a transactional email API with hosted mailboxes.

For application mail, you verify a domain, publish the DNS records, create a scoped key and call the send endpoint. The service handles bounces and complaints, suppresses bad addresses and sends signed webhooks for delivery events. Idempotency keys keep retries safe.

For people, Traffsite offers mailboxes on a verified domain, read through Traffsite Mailbox in the browser. Mailboxes are billed per mailbox each month.

The free start gives a new account 20 emails for 30 days. After that, sending uses prepaid packs in rupees. GST is added at checkout.

Traffsite does not replace Microsoft 365 for Word, Excel, Teams, SharePoint or device management. If those are the requirement, keep Microsoft 365. If the problem is application email and a simple mailbox on your domain, Traffsite covers it.

Start with a free account, verify one domain and send a test. The delivery log is the fastest way to see whether the fit is right.

FAQ

Questions, answered.

6 answers

Open any question to read the answer.

01Is Microsoft 365 an email API?

No. Microsoft 365 is a productivity and mailbox suite built around Outlook, Exchange Online, Office and Teams. Developers can send through Microsoft interfaces, but the product is designed for people and organisations, not as a dedicated transactional email platform.

02How much does Microsoft 365 cost in India?

The price depends on the plan, billing term and current promotions. Microsoft lists Business Basic, Standard and Premium on its official comparison page. Check that page for the current India price before you budget.

03Can I use Microsoft 365 for transactional email?

It is not the best fit. A mailbox suite is licensed per user and built around people. A transactional API gives you message-level events, templates, suppression and a sending domain built for application mail.

04What is the difference between Microsoft 365 and Exchange Online?

Microsoft 365 is the wider suite with Office, Teams and other services. Exchange Online is the hosted email service inside it. Some Microsoft plans sell Exchange Online on its own.

05Does Traffsite offer mailboxes?

Yes. Traffsite offers hosted mailboxes on a domain verified in Email Services, plus an email API for application mail. Mailboxes are billed per mailbox each month.

06Can Traffsite replace Microsoft 365 completely?

No. Traffsite does not provide Office apps, Teams, SharePoint or device management. It replaces the application email and mailbox parts of the job, not the whole productivity suite.
